In short

What is Dealer Funding Status Assistant?

It answers the dealer’s question — why hasn’t this contract funded, and what do you still need — from the deal itself, in the dealer portal, by email or by text. The answer names the open stipulation and what is wrong with it, cites the document behind every line, gives an upload link for what is missing, and says which wire the deal can still make.

The problem

Why the funding desk spends its day reading stipulations back to dealers

Between the buyer driving away and the wire, a contract is in transit, and the dealer is carrying the money. So the F&I manager calls and emails the funding desk: why is it pending, what do you still need, will it make today’s wire? The same deal gets asked about three or four times — by email after the cut-off, by phone the next morning, again in the portal.

Every one of those questions pulls a funding analyst off funding. They open the deal, read each stipulation against the documents received, check the cut-off and the wire batch, and call back. Meanwhile the stipulation that is actually wrong — a utility bill at the buyer’s old address, an insurance declarations page with no lienholder — waits for someone to say so, and a fix that lands ten minutes after the cut-off funds tomorrow.

One case, step by step

One pending contract, from “why hasn’t it funded?” to the 3:30 pm wire

Tarrow Auto Finance runs two wire batches a day. Brookhollow Auto Group has nine contracts in transit with it, $263,940.00 between them. Here is Tuesday morning, screen by screen, in the working solution.

  1. 01Monday 5:40 pm

Asked after the cut-off, answered in 6 seconds

Marcus Bell · F&I manager, Brookhollow Auto Group

Marcus emails to ask why the Okonkwo deal is pending. The reply comes in 6 s: the contract arrived at 4:52 pm, after the 3:00 pm cut-off, its documents are read first thing, and the full status will be in the portal by 8:00 am. Next morning he calls anyway — 7 minutes of Jordan Pike’s time to read the items back.

“12 of 46 questions came outside desk hours — before 8 am or after 6 pm — and were answered in a median 5 s, with nobody on the phones.”

  2. 0210:38 am · 4 seconds

“Why hasn’t the Okonkwo deal funded yet?”

    Five agents

This time he asks in the dealer portal. The Dealer identity checker confirms Marcus is a verified user of D-20417 and that TA-418277 is Brookhollow’s, with the buyer shown as Daniel O. The Deal status reader finds it pending since Mon 12 Oct 16:52 with 5 of 6 stipulations passed; the Stipulation checker finds the problem; the Funding rules reader says the 3:00 pm cut-off is 4 h 22 min away.

“Proof of residence doesn’t match the contract.” The bill says 1872 Linwood Ave; the contract says 2290 Alder Creek Dr, Apt 4B.

  3. 0310:41 am

The fix, uploaded from the answer

    Marcus Bell · F&I manager

The answer tells him exactly what will clear it — a lease, bank statement or bill at the new address, dated within 60 days — and that clearing it by 3:00 pm puts the deal in the 3:30 pm wire. He uploads the buyer’s lease from the button in the answer. The upload shows where it goes and what it must show before he sends it.

“The Stipulation checker reads it as soon as it lands and tells you here whether it clears.”

  4. 043 seconds later

Re-checked on the spot, and the board flips to Funding today

    Stipulation checker

Four checks tick in turn: the tenant is the buyer, Daniel Okonkwo; the address matches the contract; the lease was signed 24 Sep, 19 days ago; it is signed by the tenant and the property manager. Six of six are in. The status board flips from PENDING to FUNDING TODAY — the 3:30 pm wire, $31,486.20 to Brookhollow Auto Group.

  5. 0510:43 am

A waiver is not the assistant’s to give

    Hand-off router

Marcus asks for something else: “Rosa V. has been at the hospital nine years — can you waive her second pay stub?” A waiver needs judgement, so the question goes to Priya Raman with the whole deal: nine years two months at Franklin Ridge Medical Center, the 9 Oct stub at $2,280.00 biweekly, $4,940.00 a month against $4,950 on the application, and a payment-to-income of 10.2%.

Funding policy 4.3, tested line by line: tenure 2 years or more, payment-to-income under 12%, first stub matches the application, tier allows a waiver.

  6. 0610:52 am

    Waived with a reason, signed

Priya Raman · Senior funding analyst

Priya reads what the agents already know and the rule that applies, then waives the second stub. Her reason is recorded on the deal and shown to the dealer, and she signs with its meaning — “waived per policy”. She could as easily keep the stipulation, open the 9 Oct stub or reassign the question.

“Funding policy 4.3 is met. Tenure 9 years 2 months (verified by phone 12 Oct) · payment-to-income 10.2% on the 9 Oct stub · Tier 2.”

  7. 07Same conversation

The decision comes back to the dealer

    Marcus Bell · F&I manager

Marcus does not have to ask again. In the same thread: Priya Raman waived Rosa V.’s second pay stub, TA-418219 is ready and goes in the 3:30 pm wire — $27,512.30 to Brookhollow Auto Group — nine minutes after he asked. Two of his deals moved from Pending to a wire without a phone call.

  8. 08All day

Every question, every channel, every outcome

    The funding desk

The desk sees every dealer question in the portal, by email and by text: what was asked, what the assistant answered, and what went to a person. Brookhollow’s three are at the top, beside Riverside Motor Co. asking to fund at 84 months instead of 75 — a restructure, handed to a person in 3 s.

Median time to answer: 4 s — “was 2 h 40 min by email before August”.

  9. 09From the dealer’s page

Fix the cause before the dealer stops sending deals

Tom Albrecht · Dealer relationship manager

Brookhollow asked 46 questions in 7 days, with 9 repeat asks and a 41% pend rate against 28% for the desk. Fifteen were about the insurance lienholder; their buyers mostly insure through two agencies, Lindgren and Coyle & Daughters. And 31% of their contracts arrive after the 3:00 pm cut-off.

“Fix at the source — suggested by the assistant · you decide.”

  10. 10Every week

The cheapest answer is the question nobody asks

Renee Castellano · Funding team lead

Every question is grouped by its reason, each with a fix and an owner: insurance with no or the wrong lienholder is 21% of 2,180 questions this week, proof of income 18%, cut-off and wire timing 16%. Analyst time on status questions is down from 143 hours a week before the assistant to 16 hours of hand-offs.

“That is about three and a half analysts back on funding.”

Built on the engine

6 agents. Each with one job, and hard limits.

Six specialist agents answer from the deal itself, with a source per line; a funding analyst decides anything that needs judgement.

Dealer identity checker

Confirms the person asking is a verified user of the dealer, and that the deal belongs to that dealer, before anything is said. Masks the buyer to first name and initial.

  • Never shows a deal to another dealer
  • Never shows a buyer’s SSN, date of birth or credit report
  • Refuses, and says why, when the asker or the deal does not check out
Deal status reader

Reads the funding system — status, stipulations, timestamps, returns and the wire batch a deal is in.

  • Never changes a status
  • Reports only what the record says
Stipulation checker

Reads each document received against its stipulation — pay stubs, insurance declarations, utility bills, licences — and says pass, review, fail or missing, with the reason.

  • Never clears a stipulation that needs a person
  • Never re-decides income
  • Clears on upload only where the settings allow
Funding rules reader

Applies cut-off times, wire batches, holidays and the dealer agreement to say when a cleared deal will fund.

  • Never promises a funding time the schedule cannot keep
Answer writer

Writes the plain answer in the dealer’s words, a source for every line and an upload link for each missing item.

  • Never gives a credit decision, a rate or a reason for a decline
  • Never gives another dealer’s information
Hand-off router

Spots questions that need judgement — waivers, restructures, rate, exceptions, complaints, a third ask — and routes them to the right analyst with the whole deal.

  • Never answers a hand-off question itself
Funding analyst

Decides waivers, exceptions and funding. The agents propose; a named person decides.

Ask in plain words

The funding desk can ask too

Analysts and leads ask about any deal, dealer, wire or rule in plain words, and get the answer with its sources.

Can I waive the second pay stub on Rosa V.’s deal at Brookhollow?

Yes, policy 4.3 allows it. Rosa Villanueva has been at Franklin Ridge Medical Center for 9 years 2 months, verified by phone on 12 Oct. The 9 Oct stub shows $2,280.00 biweekly, which is $4,940.00 a month. With the $502.64 payment, payment-to-income is 10.2%, under the 12% limit. The decision is yours.

Which deals could still make the 3:30 pm wire?

64 contracts are cleared already. Another 41 need only one document, and the dealers already have the upload link — the biggest is Hilltop Truck Center’s corrected title application, $46,210. Each dealer gets a reminder at 1:30 pm.

Why is Brookhollow asking so much this week?

Brookhollow asked 46 questions in 7 days, the most of any dealer. 15 were about the insurance lienholder, because their buyers’ agencies leave it off. 9 were repeat asks, 7 of them phone calls after a portal answer. 31% of their contracts arrive after the 3:00 pm cut-off. The fix is to send the lienholder wording to their two agencies.

Draft a tip sheet on the lienholder wording for all dealers

Insurance is 21% of all dealer questions this week, 458 of 2,180. The tip sheet asks agents to list Tarrow Auto Finance, ISAOA/ATIMA, as lienholder and loss payee, with comprehensive and collision coverage. It goes to the 312 dealers who asked this week once Renee Castellano approves it.

Questions

What funding teams ask us.

What is a dealer funding status assistant?

It answers the dealer’s question — why hasn’t this contract funded, and what do you still need — from the deal itself, in the dealer portal, by email or by text. The answer names the open stipulation and what is wrong with it, cites the document behind every line, gives an upload link for what is missing, and says which wire the deal can still make.

How does it know which deals a dealer may see?

The Dealer identity checker confirms the person asking is a verified user of that dealer — portal sign-in with two-step verification, a registered email address or a registered phone number — and that the deal belongs to that dealer. The buyer is shown as first name and initial, and no dealer sees another dealer’s deal.

Can dealers clear a stipulation without calling the funding desk?

Yes, where your settings allow it. In the working solution a lease uploaded from the answer was checked for tenant, address, date and signatures and cleared in 3 s. Insurance, residence and ID can clear on upload; proof of income clears only when it matches the application within the tolerance you set.

Does it give rates, credit decisions or waivers?

No. Rate, credit reasons and declines are always handed to a person, and the Hand-off router never answers a hand-off question itself. Waivers, restructures, exceptions and complaints go to a named analyst with the deal, what is already known, the policy that applies and a drafted reply that is sent only when the analyst decides.

Does it answer outside desk hours?

Yes. In the working solution, 12 of one dealer’s 46 questions in a week came before 8 am or after 6 pm and were answered in a median 5 s. A contract that arrives after the cut-off gets an answer saying so, and when the full status will be ready.

Will it promise a funding time it cannot keep?

No. The Funding rules reader applies your cut-offs, wire batches, holiday calendar and dealer agreement, and only gives a wire time the schedule can keep.

Which systems does it work with?

Your funding system for deal status and stipulations, the documents dealers send, your wire schedule and holiday calendar, your funding policy and programme rules, dealer agreements, and the dealer portal, email and text channels the questions arrive on.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents — your funding policy, wire schedule, approved answer wording and a sample of past dealer questions — and it goes live once every quality gate has passed. We will walk you through it on your own deals first.

See it on
