How it works →Airlines and AI, answered
Short answers to what airlines teams ask first. The buyer’s guide covers where AI pays off, what to demand from any vendor, how to run a pilot and what waiting costs.
What is AI for airlines?
AI for airlines is software that reads the documents and messages behind airline work, such as dispatch releases, airworthiness directives, maintenance records, crew files, refund requests, bag claims, air waybills and revenue coupons, and turns them into checks, decisions and drafts that people review and sign. Good systems link every value to the page it came from and leave each decision with a qualified person. Botminds offers an airline library of solutions built this way, from flight dispatch release to passenger revenue accounting.
How are airlines using AI today?
In their 2025 annual reports, US airlines described AI work focused mostly on customer service and the efficiency of flight operations, such as rebooking and answering passengers, planning maintenance, routing bags and saving fuel, and some flagged cybersecurity and reputational risks. A growing share of the value is in the work behind those, such as tracking directives and deferrals, checking crew qualifications, auditing invoices and issuing required refunds. Maintenance organizations are among the furthest along, with 64% of respondents in Oliver Wyman's 2025 MRO survey reporting AI use.
What is agentic AI for airlines?
Agentic AI means software agents that carry a task through several steps, such as reading a new directive, finding the affected aircraft, checking their records and drafting the engineering order, instead of answering one question at a time. In an airline the agents should stop where responsibility sits with a person and hand over the evidence and the draft for a named sign-off. Every action they take should be logged.
Can AI help airlines manage flight disruptions and rebooking?
Yes. AI can draft recovery plans for the operations center, propose crew reassignments that stay legal, and rebook disrupted passengers by your own policy, while controllers and duty managers choose the plan. The stakes are high: Airlines for America puts the cost of aircraft block time at $100.76 per minute for US passenger airlines in 2024. Botminds Airline Disruption Management and IROPS Passenger Reaccommodation are built on that split.
How can airlines comply with the DOT automatic refund rule?
The April 2024 DOT rule requires an automatic refund when a flight is canceled or significantly changed and the passenger does not accept an alternative, within 7 business days for card purchases and 20 calendar days for other payments, with most requirements applying from 28 October 2024. AI can check each disrupted booking against the rule, decide what is owed, and issue or queue the refund with the reason recorded for review. Responsibility for compliance stays with the airline, and DOT has said it is reconsidering parts of the rule.
How is AI used in aircraft maintenance and records?
AI reads airworthiness directives and service bulletins and matches them to the tails they apply to, tracks deferred defects against their clocks, answers technicians' fault questions from manuals and fleet history, and searches scanned aircraft records with the source page shown. Engineers, inspectors and records staff still make and sign every determination. Oliver Wyman puts maintenance spend at more than $136 billion in 2025, so time saved in records and engineering adds up quickly.
Can AI track crew qualifications and duty limits?
Yes. AI can keep every license, medical, recurrent check and training record current, warn before something expires, and check pairings and rosters against FAA Part 117 and EASA flight time limits before they publish. Crew planners and controllers make the final call. Botminds Crew Qualification Management and Flight and Duty Time Compliance cover these two jobs.
How much does a mishandled bag cost an airline?
SITA estimated that mishandled bags cost the industry about $6.3 billion in 2025, at a rate of 4.9 bags per 1,000 passengers, down 23% on 2024. In the US, the DOT rule also requires a bag fee refund when a checked bag misses the delivery window, 12 hours after a domestic arrival. AI can settle claims within liability limits and find each bag owed a fee refund, with agents approving payment.
Is airline data used to train AI models?
It should not be, and you should get that in writing. With Botminds, your inputs and outputs are not used to train models, and data is encrypted in transit and at rest and isolated per customer. Botminds can run as multi-tenant SaaS, in a dedicated cloud environment, or fully on-premises, so data can stay where your obligations require.
How long does an AI pilot at an airline take?
Plan a focused pilot on one process over a fixed window, such as 6 to 10 weeks, with a baseline, testing on your own documents and a go or no-go decision agreed in advance. Wider rollout depends on your security, privacy and third-party risk reviews and on updating your manuals where AI drafts and people decide. Botminds delivers solutions already deployed, in its cloud or yours, which shortens the build stage.
