What is Faculty Credentialing?

Faculty credentialing is how a college documents and justifies that each instructor is qualified to teach each course, against its accreditor's faculty qualifications rules: a degree in the discipline, 18 graduate hours in the teaching discipline, or justified experience, licenses and certifications. Faculty Credentialing checks every section of the term every night, gives each one a cited verdict, and drafts the justifications for the dean to approve and the vice president to co-sign.

The problem

Why faculty credentialing is still checked once, at hire, by hand

Every credit section a college runs needs an instructor whose qualifications are documented and justified against the accreditor's faculty qualifications rules: for most transfer courses, a master's in the discipline or a master's with 18 graduate semester hours in the teaching discipline; for workforce courses not designed for transfer, an associate degree with demonstrated competencies, justified in writing. Keeping accreditation is what keeps a college eligible for federal student aid under Title IV.

Today the faculty credentialing process runs on a form filled once, at hire. Graduate hours are counted by hand from the transcript, and methods, statistics and interdisciplinary courses are judgment calls that differ by reviewer. Experience-based justifications are uneven and often uncited. Chairs swap instructors in the last two weeks before term, partner high schools assign dual enrollment teachers, and the gaps surface when the Accreditation Liaison Officer builds the faculty roster for a site visit.

One section, through faculty credentialing to a co-signed memo

Monday, January 11, 2027, at Brandvale Community College. Spring 2027 begins January 20, and every section must be cleared by January 13. Here is HVAC 140 Commercial Refrigeration, section N01, screen by screen in the working solution, with three more cases from the same morning.

  1. 016:00 a.m.

The whole term schedule, checked overnight

    Sweep agent

The Sweep agent checked all 2,104 Spring 2027 sections against the college's faculty qualifications policy and opened the list on the 45 that need action: 21 need a justification, 18 have no official transcript, and 6 are not qualified as assigned. Each row carries a plain-word verdict and its cited reason, and dual enrollment rows carry the partner high school's name.

45 sections need action · 9 days until Spring 2027 begins

  2. 026:02 a.m.

An associate degree, a license and verified years

    Experience agent

Chair Hector Lindqvist assigned a new adjunct, Raymond Delgado, on January 6. HVAC 140 is a workforce course not designed for transfer, so his A.A.S. in HVAC Technology qualifies only with demonstrated competencies. The Experience agent read seven documents, verified his state HVAC-R license MR-0047312 with the state board (active through June 30, 2028) and counted 7 employer-verified years against the 4 the policy requires, with confidence 0.93.

Not counted: 2022–2026 on his résumé without an employer letter.

  3. 03One click

Every claim opens its source page

Dr. Anita Kerr · Dean of Workforce and Technical Programs

Dr. Kerr clicks a citation and the employer letter in his HR file opens at page 3, with the passage highlighted: lead technician, commercial refrigeration, March 2015 to March 2022, supervising six technicians. Every view of an HR file is logged.

  4. 046:03 a.m.

The alternative-qualification memo, drafted and cited

    Justification agent

Justification JQ-2027-0418 is drafted against policy AP 4-210 §3.2 and §4 with five claims, each cited: the A.A.S. (2013), 14,560 verified hours against 8,000 required, the EPA Section 608 Universal certification, the active license and apprentice training. A map ties the course outcomes to the evidence. The dean can edit any claim, approve with a reason or return it to the chair.

  5. 059:12 a.m.

Approved with a reason, then on to the vice president

    Dr. Anita Kerr

Dr. Kerr approves with the reason "Verified field experience exceeds policy". The memo moves to Dr. Celeste Moreau, Vice President of Instruction, whose queue lists the justifications waiting for her second signature. The person who approved cannot co-sign.

I sign these memos. I want to see the license, not take someone's word for it.

  6. 069:14 a.m.

Co-signed, and the section is qualified by experience

Dr. Celeste Moreau · Vice President of Instruction

Dr. Moreau co-signs and HVAC 140 N01 turns qualified by experience. Sections needing action fall from 45 to 44, sections taught under a co-signed justification rise from 96 to 97, and the memo goes straight into the site-visit roster.

  7. 07Same morning

Graduate hours counted, and the chair asked instead of a guess

    Transcript agent

MATH 121 College Algebra, section D14, is a dual enrollment section at Brandvale North High School. From Tessa Quinlan's official transcript the Transcript agent counts 15 of 18 graduate hours in mathematics and excludes a methods course under policy §2.4. On MATH 5500 Statistics for Teachers its confidence is 0.71, below the 0.85 threshold, so it asks the Mathematics chair. Dr. Ruth Okafor confirms it counts, Dean Owen Prescott approves the count, and the section is qualified by 18 graduate hours.

  8. 08Same morning

A failing section comes with three qualified instructors

    Change agent

In BIOL 101 W03 at Westgate, the assigned adjunct has 9 of 18 graduate hours in biology. The Change agent searched 1,150 qualification records and proposes three instructors free on Tuesday and Thursday at 9:30 a.m.: Dr. Imani Grant, Ph.D. Molecular Biology, at 1 of 3 sections, is the best fit. The chair proposes; the agent never assigns.

  9. 098:12 a.m.

Every schedule change, checked again within a minute

    Change agent

Seven changes were made in the student information system after the 6:00 a.m. sweep, each listed with its verdict before and after. A swap on PHIL 101 O01 at 8:12 a.m. turned a qualified section into a not-qualified one, and the chair was told at 8:13 with two qualified options.

  10. 10Site visit

The faculty roster, built from the same record

    Site-visit Pack agent

For Fall 2026 and Spring 2027 the agent builds the faculty roster in the accreditor's format: 4,187 section rows, 1,196 instructors, 146 justifications with both signatures and 3,412 linked sources. Personal data is redacted and the roster is sealed. The 44 Spring sections still in review are marked "in review", never qualified. Martin Osei, the Accreditation Liaison Officer, requests the release, and the vice president releases it.

7 agents. Each with one job, and hard limits.

Seven agents sweep the schedule, count graduate hours, verify experience and draft cited memos; deans approve and the vice president co-signs.

Sweep agent

Checks every section of the term against its course-type rule and the instructor's qualification record, nightly at 6:00 a.m. and on demand, and gives each one a plain-word verdict with its source.

  • Never changes an assignment
  • Never marks a section qualified below confidence 0.90
Transcript agent

Reads official transcripts and counts graduate hours in the teaching discipline course by course, quoting the policy line for each course it counts or excludes.

  • Only official transcripts count
  • Methods courses never count
  • Below 0.85 confidence it asks the chair instead of guessing
Experience agent

Reads licenses, certifications, résumés and employer letters, verifies licenses with the state board, and keeps verified years apart from claimed years.

  • Claimed years are never counted
  • Never contacts an employer
Justification agent

Drafts the alternative-qualification memo against the college's policy, with each claim cited and the course outcomes mapped to the evidence.

  • Never approves
  • No claim without a verified source
Change agent

Watches the schedule for swaps, new sections and cancellations, checks a section again within a minute, and proposes qualified instructors who are free at that time and under their load cap.

  • Never assigns an instructor
Dual Enrollment agent

Keeps partner high school teacher packets, requests missing transcripts and tracks three-year renewals.

  • Section enrollment counts only, never a student record
  • Never approves

Ask in plain words

Ask about any section, instructor or memo

The assistant answers from the schedule, the transcripts and the policy, cites each source, and opens the screen where the work is done. It cannot assign, approve or co-sign.

Which sections still need action before Jan 13?

45 of 2,104 sections, with 2 days to the deadline: 21 need a justification (the deans, then Dr. Moreau), 18 are missing a transcript (HR and the partner schools), and 6 are not qualified (the chairs, with qualified options). 14 of them are dual enrollment sections at 7 partner high schools, and 15 more have no instructor yet.

Why does HVAC 140 need a justification?

Raymond Delgado holds an associate degree, and HVAC 140 is a workforce course not designed for transfer. The accreditor accepts that only with demonstrated competencies, and the policy asks for 4 verified years and a current credential. He has 7 years verified by his employer, an active state HVAC-R license and the EPA 608 Universal certification. Only the verified years are counted, and the memo is drafted for you to approve.

Who can teach BIOL 101 W03 instead?

Three qualified instructors are free on Tuesday and Thursday at 9:30 a.m.: Dr. Imani Grant (Ph.D. Molecular Biology; 1 of 3 sections; has taught BIOL 101 six times), Kevin Asher (M.S. Biology; would reach the full-time cap) and Dr. Helena Voss (M.S. Microbiology; the Thursday lab conflicts). The assigned adjunct has 9 of 18 graduate hours in biology. The chair proposes; the assistant cannot assign.

Questions

What provost offices ask about faculty credentialing.

What does 18 graduate hours in the teaching discipline mean?

For most transfer courses the accreditor's guideline asks for a master's in the discipline, or a master's with at least 18 graduate semester hours in the discipline. The Transcript agent reads the official transcript and counts those hours course by course, quoting the policy line for each, and asks the chair about a borderline course instead of guessing.

How does the faculty credentialing process work with the agents?

The Sweep agent checks every section against its course-type rule each night. The Transcript and Experience agents read the transcripts, licenses and employer letters; the Justification agent drafts the memo; and the Change agent checks a section again within a minute when a chair swaps its instructor. The chair proposes, the dean approves with a reason, and the Vice President of Instruction co-signs.

Can work experience qualify an instructor without a master's degree?

For workforce courses not designed for transfer, the guideline accepts an associate degree with demonstrated competencies, justified in writing. The college's policy in the working solution asks for 4 verified years of field experience in the last 10 years and a current industry credential. Only employer- or board-verified years count; years claimed only on a résumé are kept apart.

Do dual enrollment teachers need the same qualifications as college faculty?

Yes: high school teachers who teach dual enrollment sections meet the same qualifications as campus faculty for the course type. The Dual Enrollment agent keeps each partner school's teacher packets, requests missing transcripts and tracks renewals, and these sections are checked in the same nightly sweep.

How do we build the faculty roster for a site visit?

The Site-visit Pack agent builds the faculty roster in the accreditor's format from the same record: every section, instructor, justification with both signatures and linked source, with personal data redacted and the roster sealed. Sections still in review are marked "in review". The liaison officer requests the release and the vice president releases it.

Do people stay in control of the decision?

Yes. Agents never assign an instructor, approve, co-sign or release anything, and below their confidence threshold they ask a person. The chair who proposes never approves, the dean who approves never co-signs, and every override needs a reason code.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents, such as your faculty qualifications policy, a term schedule and a sample of instructor files, and it goes live once every quality gate has passed. We will walk you through it on your own schedule first.
