What is Student Teaching & Field Placement Management?

It is student teaching placement and field placement software for educator-preparation, social work and counseling programs. Seven agents propose each placement as a candidate, a partner site and a mentor together with cited reasons, check every mentor against the partner's roster and the state licensure export, check clearances for every day of the placement, and reconcile hours weekly. The coordinator sends, the partner accepts in its own view, and the Director of Field Experiences signs.

The problem

Why student teaching placement takes most of October

A student teaching placement puts one teacher candidate with one partner school and one qualified mentor for a whole term, and a field office makes hundreds of them at once, alongside social work field placements and counseling practicum placements. Each one has to meet the state's mentor rule (usually three years of teaching and a credential in the candidate's area), the accreditor's expectation of diverse clinical settings, the district's clearances for every day of the placement, and an hour minimum the site calendar can actually reach.

Today a field placement coordinator matches by spreadsheet and email, one spreadsheet per district, and checks mentors by hand. Nobody compares the district's roster with the state licensure export, so a mentor the roster lists for Biology who is licensed only in Social Science goes unnoticed. A fingerprint clearance that lapses in March is found when the school calls, and hours signed by the wrong person surface at the end of term. Student Teaching & Field Placement Management puts seven agents on that work: they propose, check, cite and draft, and the coordinator, the partner district and the Director of Field Experiences decide.

One student teaching placement, from the matching run to a signed notice

Teodora Vance, Halden State ID H02041877, is a BS Elementary Education candidate with a bilingual authorization in Spanish. Here is her spring 2027 placement (January 19 to May 15), screen by screen, in the working solution.

  1. 01Monday, 6:00 a.m.

The whole term matched in 41 minutes

Request reader, Matcher and Mentor verifier

The Request reader read 486 requests and pulled 1,318 prior placements. The Mentor verifier read 22 district roster exports and the state licensure export, and the Matcher scored 61,200 options and proposed 462 placements. 24 requests have no mentor with room, each with its reason.

Would not: send, accept or sign, waive a standard, read grades, disability or conduct records, share fields outside the agreement.

  2. 02Wednesday morning

    A briefing, not an inbox

Renée Calloway · Field Placement Coordinator

Renée's day opens with what the agents found, each statement cited: 449 of 462 mentors meet the standard and 13 do not, 21 clearances lapse before the placement ends, and Tessaly Lake Unified is 3 business days late answering on 13 placements. Beside it is the work that needs her, with its targets.

  3. 03The matching board

Candidate, school and mentor, matched together

    Renée Calloway

Each proposed placement is a thin triangle linking a candidate, a partner school and a mentor, with five ticks for its checks: licensure area, mentor years, mentor credential, clearances and hour minimum. Marlow Bay Unified elementary has 11 proposed, 3 with an open check, and those triangles are dashed.

  4. 04Confidence 0.93

A bilingual Title I classroom, because she has never had one

    Matcher

Teodora's two earlier placements were in schools that are not Title I, with 6% and 9% English learners. The Matcher proposes Tamsin Grove Elementary, Title I with 61% English learners, in the grade 4 bilingual classroom of Luis Arceneaux, 18 minutes from her home. Every reason cites its source.

  5. 05One click

The mentor check opens the district's own roster row

    Mentor verifier

Mentor years reads 7 against a standard of 3. The citation opens Marlow Bay Unified's human resources roster export, received Oct 21 at 5:30 a.m. under placement agreement PA-2025-014, at row 318: Luis Arceneaux, grade 4 bilingual (Spanish), 7 years, mentor training August 2026.

The highlighted passage is what the agent read.

  6. 06One open tick

A clearance that lapses mid-placement, with the renewal drafted

    Clearance agent

Teodora's fingerprint clearance expires March 3, before her placement ends on May 15. The Clearance agent drafts the renewal notice: renew by February 17, on file by February 24. Renée sends the placement to Marlow Bay Unified with that condition stated; the district's answer is due November 4.

  7. 07In the district's view

The partner district accepts, on condition

Janelle Ortiz · District Placement Coordinator

Janelle sees the 8 placements waiting for the district and the condition Halden State proposes, and accepts on it. Her view shows only what the placement agreement shares: name, ID, program and licensure area, dates, clearance status and supervisor. Grades, disability or accommodation details, financial aid and conduct records are never shared.

  8. 084:05 p.m.

Signed only after the partner accepted

Dr. Hollis Brandt · Director of Field Experiences

The director sees accepted placements with conditions first and the rules before signing: the partner accepted in its own view, every check is closed or a stated condition was accepted, and the director did not propose it. Batch signing the rest stays blocked until a random 5 have been opened.

You did not propose it (0 of these are yours).

  9. 09Released

Told once, after both sides agree

    Release agent

The Release agent sends the placement notice, with the renewal notice, to Teodora, Luis Arceneaux and the school, and writes it to the field placement system and the student information system. The record shows the four approvals, every check with its source, and Dr. Amos Whitcomb's six observations from February 2 to May 11.

  10. 10On the record

The same records become the accreditation evidence

    Evidence agent

Every match, check, decision and notice is on an audit trail kept 7 years that nobody can edit. The Evidence agent builds the CAEP, CSWE, CACREP and state licensure packs from those records, with candidate names replaced by IDs, and exports them only after the director approves.

Request reader

Reads each term's requests from the student information system and request forms, and pulls the candidate's prior placements.

  • Never reads grades, disability or conduct records
  • Uses defaults where a request is silent, and says so
Matcher

Proposes each placement as a candidate, site and mentor together, on licensure area, setting diversity, commute and mentor capacity, with cited reasons and a confidence, and checks site calendars against hour minimums.

  • Never sends a placement
  • Below a confidence of 0.80, leaves the request to a coordinator
Mentor verifier

Checks every mentor against the partner's roster export, the state licensure export and the program's standard, citing the row, and re-checks every morning.

  • Never waives a standard
  • Flags a stale or unreadable roster export instead of using it
Clearance agent

Checks fingerprints, TB screening, district onboarding and liability coverage against every day of the placement, and drafts renewal notices.

  • Sends nothing without a coordinator's approval
Hours agent

Reconciles logged hours with mentor-signed timesheets every week, projects each candidate's total, and drafts next steps and reminders.

  • Never edits hours
  • Never signs for a mentor
Release agent

Tracks partner answers against their targets, escalates late ones, and after the director signs tells the candidate, mentor and school and writes the placement to the systems of record.

  • No release without the partner's acceptance and the director's signature
Evidence agent

Why was Teodora Vance matched to Tamsin Grove?

She is a bilingual authorization candidate, so she needs a bilingual classroom, and her two earlier placements were in schools that are not Title I, with 6% and 9% English learners. Tamsin Grove is Title I with 61% English learners. Luis Arceneaux has 7 years and a bilingual authorization, row 318 of the district roster, and the school is 18 minutes from her home. One check is open: her fingerprint clearance expires Mar 3.

What is still open for Marlow Bay Unified?

7 placements are not sent: Teodora Vance's fingerprint clearance, Owen Castillo's mentor has 2 years, Hana Delacroix's half-day class gives 312 hours, Victor Salas's mentor has no Biology authorization, Maya Ostrowski's TB screening, Gabriel Ruiz's mentor credential and Lena Vasquez's direct hours. Every one has a drafted fix. Send them by Friday to keep the district's Nov 4 answer date.

Who is behind on hours this week?

37 gaps in week 9. The ones that need a decision: Imani Rhodes has 44 hours signed by a task supervisor, not her field instructor of record; Mateo Lindqvist has 96 of 240 direct-service hours and is on pace for 214; Omar Haddad needs 5.2 direct hours a week and has 2.6. I drafted a next step for each.

Send the clearance renewal notices

21 notices are drafted: 7 fingerprints, 5 TB, 6 district onboarding and 3 liability coverage. Each names the lapse date, the renew-by date and where to upload. I need your approval before anything goes to a candidate.

Eight roles, separated by dutyCoordinators propose and send; partner coordinators decide only for their own organization; the Director of Field Experiences signs, waives and approves exports; university supervisors and mentors sign their own evaluations and timesheets; an administrator manages settings; a privacy and compliance officer reads and exports, changing nothing; candidates see their own placement only once it is released. The person who proposes a placement cannot sign it.

Questions

What field offices ask us.

How are student teaching placements matched?

The Matcher proposes the candidate, school and mentor together. Licensure area must match; then it weighs setting diversity from the candidate's own placement history (40%), commute (25%), the candidate's preference (20%) and mentor continuity (15%), and shows each reason with its source. Below a confidence of 0.80 it leaves the request for a coordinator.

What are the requirements for a mentor teacher?

They are set by the state and the program. Many state rules ask for about three years of teaching and a credential in the candidate's area; in the working solution the standards are 3 years for mentor teachers, an MSW plus 2 years for social work field instructors and 2 years for counseling site supervisors. The Mentor verifier checks each mentor against the partner's roster row and the state licensure export, and only the director can approve a waiver.

Does it handle social work field placement and counseling practicum placement?

Yes. Social work field placements are matched with a field instructor at a partner agency, and counseling practicum and internship placements with a site supervisor. The Hours agent tracks the program's minimums, such as the 400 and 900 field hours CSWE sets for BSW and MSW students and CACREP's 100-hour practicum (40 direct) and 600-hour internship (240 direct), and counts direct service separately.

How are field hours tracked and signed?

Every week the Hours agent matches logged hours with mentor-signed timesheets. It flags hours not yet signed, hours that differ from the timesheet or the site calendar, signatures by someone other than the field instructor of record, and candidates behind pace, then projects each total and drafts a next step for the coordinator to approve. It never edits hours or signs for a mentor.

What does the partner district or agency see?

Only the fields its placement agreement shares: the candidate's name, ID, program and licensure area, dates, clearance status and supervisor. Grades, disability or accommodation details, financial aid and conduct records are never shared, and the partner accepts, accepts on condition or declines only for its own organization.

Do people stay in control of every placement?

Yes. The agents propose, check and draft; they never send, accept, sign, waive a standard or edit hours. A coordinator sends and approves every notice, the partner accepts, and the director signs, never a placement they proposed. Batch signing needs a random spot check first.

How long does it take to go live?

The Agentic Solution Engine builds and deploys it from your requirements and documents, such as your field manuals, placement agreements, mentor standards and a sample of past requests and roster exports, and it goes live once every quality gate has passed.
